The Contract
Terms and Conditions of Reservation

The contract takes effect when we receive your signed copy of the confirmation of booking or when you
confirm and pay over the telephone with a debit or credit card and lasts until you and your party leave the hotel. The contract binds you and all the members of your party.

It is your responsibility to ensure that all members of your party accept the terms of the contract set out in these terms and conditions of reservation. Failure to disclose all relevant information or comply with these terms may lead to termination of the contract and loss of the booking.

Your Reservation

When you receive your confirmation of booking, please telephone our Reservation Department if any of the details contained in it are incorrect. With this confirmation will be statements of cover for your insurance, if required, and any other relevant information.

The deposit and insurance, if required, must be paid within 7 working days of making the booking otherwise the booking will automatically lapse. Payment of the balance must be made 6 weeks before the start of your break otherwise the booking will be regarded as cancelled and your deposit and any insurance payment will be forfeited.

Late Bookings

If payment is made at the Hotel, only cash, debit and credit cards or cheques to the limit of accompanying bankers cards will be accepted.

Pricing

We guarantee that the price shown and agreed on your confirmation of booking for the accommodation, party size and insurance plus any supplements is the amount payable by you. The Manchester Hotel will only amend prices where there is an increase in VAT or tax which applies to your break. Please note that all prices shown are inclusive of VAT at the rate of 17.5%.

If You Change Your Booking

If you wish to change your booking after you have paid your deposit, we will try to meet your request but there will be a £10 charge per booking for each amendment.

Substantial changes such as change of date will be treated as a cancellation ( see next section )
Any changes must be made at least 6 weeks before the start of your break by telephone to our Reservations Department.

Where changes are sought to be made within 6 weeks of the start of the break it will be treated as a cancellation and be subject to cancellation charges as outlined in the next section.

If You Cancel Your Booking

It may be necessary to cancel your break due to illness, accident or change of circumstances. If you have taken insurance protection, payments arising from the cancellation will be covered in most cases.
As soon as you know that you need to cancel, telephone the Reservations Department on 01202 311788 and confirm the cancellation in writing.

The letter must be signed (where possible) by the person who signed the booking form/confirmation of booking. Cancellation charges are calculated as follows from the date that your written instructions are received:
Between 3 and 6 weeks before the start of your break: 50% of the total cost.
Less than 3 weeks before the start of your break: 100% of the total cost.

If you have not arrived by 8.00 a.m. on the morning after your break was due to commence or contacted the hotel to confirm when you will arrive, we will assume that the break is cancelled and the total cost will be retained.

If We Change or Cancel Your Booking

We try very hard not to have to change or cancel your break or make any alterations to your arrangements, but where it is absolutely necessary we will notify you as soon as possible. Very exceptionally, this may arise. In this case we will inform you of the cancellation as soon as possible and not later than 14 days before the scheduled start date.

If we cancel your break or make a significant alteration, you then have the choice of either:

I. accepting the alternative arrangements as notified to you.
2. choosing another available break from us.
3. a full refund of any money you have paid.

In addition to the above, and provided that it does not arise from circumstances amounting to force majeure*, we will also pay you the following compensation: if after full payment but more than 2 weeks before your intended departure date, a maximum of £20 per booking per full week break, or £10 per booking per short break; or if after full payment, but within 2 weeks of your intended departure date, a
maximum £40 per booking per full week break, or £20 per booking per short break.

*Force majeure means circumstances beyond our control ( but not limited to ) industrial disputes, natural disasters, fire, technical problems, bad weather and acts of Government.

We accept payment by: Cash, Cheque, most debit and credit cards.

Paying the Balance
The date for payment of the balance will be shown on your confirmation of booking. Payments by either post or phone including debit or credit card payments must reach The Manchester Hotel no later than 6 weeks before the start of your break. (Reminders are not sent)
